Vehicle Details

What you'll learn

This guide explains how to use the Vehicle Details section in OneLead so you can accurately record what a customer is interested in, whether they’re buying, trading in, requesting finance, or looking for car care, and keep all vehicle information up to date.

1. Where to Find Vehicle Details

From Customers & Activities:
  1. Open the Customers tab.
  1. Click on a customer card to open Customer Details.
  1. In the Lead Details area, look for the Interested In tiles (for example, Buying, Trade In, Finance, Car Care).
  1. Click the pencil icon on the vehicle strip to open Vehicle Details.
This opens a side panel where you can see and edit all vehicles linked to that customer and lead.

2. Understanding the "Interested In" Tabs

At the top of Vehicle Details you will see separate sections for each type of interest:
  • Buying – vehicles the customer wants to purchase.

  • Trade In – vehicles the customer wants to trade in.

  • Finance – finance‑only leads (if configured).

  • Car Care – additional products or services (if configured).

Each section can contain one or more vehicle rows. For example, a customer might be:
  • Buying 2 new vehicles.
  • Trading in 1 existing vehicle.
Use these sections to capture the full picture of the deal, not just a single vehicle.

3. Adding a Vehicle

You can add vehicles for both Buying and Trade In interests.
To add a new vehicle under one of these interest types:
  1. Open Vehicle Details.
  1. Make sure the correct section (Buying or Trade In) is expanded.
  1. Click Add Vehicle in the top‑right of that section.
  1. A new row appears, and the Vehicle Details form opens below.
You are now ready to enter the vehicle information.

4. Editing or Removing a Vehicle

Each vehicle row includes quick‑action icons on the right:
  • Quantity selector (QTY) – shows how many of this exact vehicle the customer wants. Use the + or to adjust the quantity.
  • Pencil icon – edit the full vehicle details (opens the form).
  • Page icon – reference for product notes.
  • Bin / delete icon – remove the vehicle from this lead.
Use edit any time the customer changes their mind on model, year, or other specs. Use delete if the vehicle is no longer part of the opportunity.

5. Vehicle Details Form

When you add or edit a vehicle, you will see the Vehicle Details form.
At the top of the form, choose:
  • New – for brand‑new vehicles from your stock or order bank.
  • Used – for pre‑owned vehicles (usually with a registration and odometer).

When Used is selected you will also see an Enter Kilometres slider and counter. Use this to record the current odometer reading as accurately as possible. This is important for:
  • Valuation of trade‑ins.
  • Assessing eligibility for warranties or programs.
  • Understanding how the vehicle compares to similar stock.
This selection ensures reporting is accurate for new vs used stock and that trade‑in valuations have the correct mileage.

Below the vehicle type, complete the required fields (marked with *). Typical fields include:
  • Model Year
  • Make
  • Model
  • Badge
  • Transmission
  • Fuel Type
These fields define the exact vehicle the customer is discussing. Use the drop‑downs and type‑ahead options where available to keep values consistent.

Use the Notes field to capture any extra detail that is important for the deal but not covered by the standard fields, such as:
  • Colour preferences.
  • Accessories or packages requested.
  • Specific stock or VIN references.
  • Conditions on a trade‑in (for example, “Subject to final inspection”).
Clear notes make it easier for other team members to understand the deal at a glance.
  • Click Save to confirm the vehicle details and return to the Vehicle Details list.
  • Click Cancel if you do not want to keep your changes.
Always confirm that the information on the vehicle row (model name, year, badge) matches what you entered in the form.

6. Managing Multiple Vehicles

A single customer can have multiple vehicles across the interest types.
Examples:
  • Buying 2 vehicles (e.g. a people mover and a small EV).
  • Trading in 2 separate cars.
  • Buying 1 vehicle and requesting finance for another.
Best practices:
  • Create one row per distinct vehicle configuration.
  • Use the quantity field when the customer wants more than one of the same vehicle.
  • Use clear Notes if the vehicles are for different drivers (for example, “Vehicle for main driver” vs “Vehicle for partner”).

This structure keeps reporting accurate and reduces confusion when pricing or ordering stock.

7. Quick Reference – Icons and Actions

Inside Vehicle Details you will commonly use these icons:
  • Pencil – edit the vehicle.
  • Bin / trash – delete the vehicle from the lead.
  • Up / down arrows (section header) – collapse or expand an interest type.
  • + Add Vehicle button – create a new vehicle in that interest section.
If you are unsure whether to edit an existing row or add a new one, ask:
"Is this the same vehicle with updated details, or a completely new vehicle?"
  • Same vehicle → Edit the existing row.
  • New vehicle → Add Vehicle and create a new row.

8. Recap & Best Practices

Use Vehicle Details to keep each lead’s vehicles accurate and complete so quoting, ordering, and reporting are reliable.
Before you move on from a customer:
  1. Confirm that the correct interest sections (Buying, Trade In, Finance, Car Care) are enabled.
  1. Check that all active vehicles are listed with the right model year, make, model, badge, transmission, and fuel type.
  1. Update quantities where a customer wants more than one of the same vehicle.
  1. Add clear Notes for anything that could impact pricing, stock, or delivery.
  1. Click Save to lock in your changes.
Keeping Vehicle Details up to date ensures everyone in the dealership has a clear, consistent view of what each customer wants and what vehicles are involved in the deal.
